Custom software or off-the-shelf? How to choose for your business

Ready-made tools are quick to start; custom software fits like a glove. Here is a practical way to decide which one your business needs right now.

Every growing business reaches the point where spreadsheets, registers and WhatsApp groups stop keeping up. The next question is always the same: buy a ready-made tool, or build software around the way we work? Both are good answers — for different situations.

When off-the-shelf software is the right call

  • Your process is standard: simple invoicing, basic accounting, a generic to-do list.
  • You need something working this week, not next month.
  • A monthly subscription is easier for you than a one-time investment.

If a popular product already does 90% of what you need, start there. You can always connect it to custom tools later.

When custom software pays for itself

  • Your process is your advantage. Weighbridge entries, labour calculations, multi-business billing, hotel quotations — generic tools force you to bend your process to fit them.
  • You are paying for workarounds. Staff re-type data between three apps, or exports are cleaned up in Excel every evening.
  • You need your data in one place. Sales, stock, accounts and tasks talk to each other, and reports arrive by email every morning.
  • Per-user fees keep growing. With your own software, adding a tenth user costs nothing extra.

A simple test

Write down the five tasks your team repeats every day. For each one, ask: does a ready-made tool do this exactly, or do we work around it? If most answers are "work around", custom software will save time every single day.

How to keep a custom project safe

  1. Start with a written scope, timeline and cost — before any code is written.
  2. Build the most valuable module first, and use it in real work.
  3. See working demos regularly instead of waiting for a big reveal.
  4. Agree on support and maintenance after launch.

That is exactly how we work at AstraTech. If you are unsure which route suits you, tell us about your process — we will give you an honest recommendation, even if the answer is a ready-made tool.
